How can I make my event more sustainable?

Nyborg Municipality works for a more sustainable city - that is why we need your help when events are held. Nyborg Municipality wants to make it easier for you, as the organiser, to create more sustainable events. In that way, it will be easier for you and your guests to take care of the environment. Below are a set of suggestions to prompt some more sustainable choices:

Waste management
Set up bins for both visitors and organizers to sort. Contact a renovator to deliver the trash containers and pick up the waste. This is the organiser's own responsibility.

Printed matters
Enable and encourage your guests to download tickets, vouchers, documents etc. to their phones. In that way, they will not have to print them out beforehand. Make sure to make the encouragement and option and available for the guests when ordering - or on the actual invitation for a given event.

Catering
Excess food can be passed further on to an organisation that handles food waste or passes food onto, for example, hostels. This often requires that you have made such an agreement in advance. Consider using vegetables and fruits that occurs in the given season meaning lots of for example salads and apples in the summer and lots of root vegetables during the winter time.

Service/packaging
Use general cutlery or wooden cutlery, and use wooden sticks for stirring. Avoid all tableware made strictly from plastics. In 2021, the EU decided to ban single-use plastic cutlery.

Transportation
Inform your guests about the easiest cycling routes or public transport forms to get to/from the event. A tip is to do this in the invitation already. Make room for bicycle parking. Rent extra bike racks and set up an area for bike parking. The latter suggestion will help you avoid that bicycles are parked in places where it is not appropriate.

Music and Sounds

If your event contains amplified music, speeches or other forms of sounds, you must state this in your application for "Råden over vej" to Nyborg Municipality and in the police permit to the Funen Police, "Politi".

The specific rules for sounds depend on the location, but it must not be louder than a normal conversation in places with apartment where people live and are neighbors to the event.

Cleaning and waste handling

When you hold an event in Nyborg Kommune, you must take care of the green areas, the road, or the square, where the event takes place. Afterwards, you must clean up the area after you. It is therefore a good idea to set aside both extra time and a budget for cleaning. After the clean-up is complete, Vej, Park og Miljø will supervise the area in which the event has taken place. If the place has been damaged or not properly cleaned up, it will be repaired at your expense.

You must have a scheme for recycling the waste. Nyborg Kommune encourages that the public is given the opportunity to sort the waste. Contact Vej, Park og Miljø for specific guidance and information at teknik-miljoefadlingen@nyborg.dk or +45 63 33 70 00.

The agreements on waste management must be able to be documented and presented to Nyborg Kommune.

Orientation on Neighbor hood and communication

Neighbors must be informed 14 days before an event is carried out. Both residents, included businesses and shops should be informed about your event; the duration, any sound samples, and whether loud music will be played or information of any noise in general. Typically, this is done by hanging notes on front doors of the local area. For events of extensive nature, e.g. including road closures, the notice must also be given to businesses in that specific area (restaurants, etc.). This notice is expected two months in advance to the date(s) of the event.

You can become part of Nyborg Kommune's various communication platforms

If you want to be visible via Nyborg Kommune's information platforms, you must enter your event in the digital calendar on Kultunaut (only in Danish). From this particular online platform, we find your information, which is needed if it should be passed on the city's other events and activities. If you are interested in being displayed on Nyborg Kommune's digital information stands, you can read more about the possibilities here (only in Danish). If you need Nyborg Kommune's logo and the logo design guide, then those will be of your convenience via this link (the page and information is only in Danish). In addition, we can refer to Fyens Stiftstidende's (a local news paper) event calendar, where you as an organizer can easily tell the local area about an event. To inform them about your event and other activities, please press the link here (only in Danish).

Toilets in connection with events

If you are planning your own event, you should plan to have two toilets per 100 guests. As there is limited access to public toilets, for larger events you should hire mobile facilities from a private company. Setting up toilets requires a formal permission from Vej, Park og Miljø, so remember to indicate this in the application to Nyborg Kommune. Particularly for markets where food is sold, staff who handle food products must have access to their own toilet with a sink.

Water, electricity, cables, and wires

At certain locations, you can get access to water. However, most pitches do not have access to water, and you must therefore find a solution by yourself. If you need electricity for a specific event, Nyborg Kommune has electrical cabinets in a number of squares, squares and parks, which can be utilised.

If you have questions about electricity, please contact the 'Vej og Park'-department at teknik-miljoefadlingen@nyborg.dk or by phone + 45 63 33 70 00.

For safety reasons, cables and wires must either be raised to at least 2.5 meters above walking level and 4.5 meters above road areas and paths used for vehicle access. Alternatively, these should safely be placed in cable trays with associated approved signage - for the security of everyone.

To be used for suspension, posts must be erected in concrete or other material approved by the 'Byggesag' in Nyborg Kommune. Objects (such as e.g. tents, lines, or posters) must not be attached to the pavement, the light poles, the road signs (and other signs), fences, trees, or other municipal equipment. In the case of any questions, please contact the above noted contact information.

Application for a 'Særlig Dispensation' (Special Dispensation)

If you would like to hold your event on a protected area, or in a protected building, it may require a special permit from the Slots- og Kulturstyrelsen. If your event is held on the location of a protected area, you must apply for a dispensation by filling in a dispensation for the alteration of protected historical monuments. If your event takes place in a listed building, you must fill in Slots- og Kulturstyrelsens byggeansøgningsformular (building application form).

Parking compensation

Parking is prohibited in parks and on squares.

n special cases, you can get a parking permit if it is necessary for the holding of your event. For example, a refrigerated van for the sale of food products. Parking compensation is indicated in the application for the 'Råden over vejareal' by Nyborg Kommune.

The formal plan should be attached to the overall arrangement application to Nyborg Kommune and Fyns Politi (the Funen Police).

Please contact Nyborg Kommune for more information the obligatory permissions (Tilladelse til afspærring af veje og omlægning af trafik).

Food:

If your sales are below the Fødevarestyrelsen's 'bagatelgrænse' (trivial limit), you do not need a special permit to sell food for the event. Nonetheless, you should always have permission from the municipality to sell food, which must be stated in the application for 'Råden over vejareal' with Nyborg Kommune. You also still have the responsibility to ensure that the consumers of your food do not get sick, and therefore, you must comply with the hygiene rules.

On Fødevarestyrelsen's website, you can read more about when the sale of food is below the trivial limit and which hygiene rules you must follow, even if your business is below the trivial limit.

If you need more information, please contact Fødevarestyrelsen: email@fvst.dk or on +45 72 27 69 00.

Permission from Byggesag in Nyborg Kommune

When you apply to arrange an event, you must be aware of applying for a permission to set up a stage or other temporary constructions. This counts, unless these are certified to be used in Denmark. Moreover, you are obliged to report events that have been certified to the Byggesagsafdelingen. Therefore, we always recommend using temporary constructions that are certified.

You are welcome to contact Byggesag in Nyborg Kommune: teknik-miljoeafdelingen@nyborg.dk, or call + 45 63 33 70 00. You can also contact Beredskab Fyn: myndighed@beredskabfyn.dk or call +45 21 70 78 57, if you have questions to the above.

Permission from Funen Police

You must always remember to sent an application to Fyns Politi (the Funen Police) about arranging a public event. Fyns Politi are the ones who assess whether the event is a larger outdoor event or similar. Therefore, always contact the grant office at Fyns Politi on +45 66 14 14 48 if you are in doubt. Remember to enclose the land owner's written acceptance - whether it is Nyborgs Municipality or privately owned land, as well as a fixed size space distribution drawing, any sign plan and other relevant documents.

If Fyns Polity assesses the event to be a major outdoor event or similar, a security plan must be drawn up. Contact Fyns Politi for further information.

Permission from Nyborg Municipality

To get permission to arrange an event at one of Nyborg Municipality's areas/squares, roads or parks, you must apply for permission to use the area.

If you need further information as a commercial player, you can contact the Technology and Environment department at teknik-miljoeafdelingen@nyborg.dk or + 45 63 33 70 00
